Introduction

How MAJR Pro works

MAJR Pro is a two-sided platform: a Firm Portal for tax professionals and an Client Portal for their clients. The firm portal is where you manage everything — clients, documents, tasks, communications, and AI analysis. The client portal is a clean, simple interface your clients use to complete their organizer, sign their engagement letter, upload documents, and message your firm. The two sides stay in sync automatically.

The golden path: firm creates account → sets up templates → adds client with a package → client accepts invite → everything kicks off automatically.

PART 1 — CHAPTER 01

Getting started & first login

Create your firm account and access your dashboard in minutes.

Go to majrpro.com and click Get Started or Sign Up.

Enter your firm email address and choose a password. Use your work email — this becomes the owner account.

On the next screen, enter your firm name. This name appears on all emails sent to your clients.

You'll be taken directly to your dashboard. No email verification is required to get started.

The account you create here is the Owner role — the highest permission level. Only owners and admins can add clients, access settings, and manage the team.

Logging in

Go to the login page and enter your email and password. If you've forgotten your password, use the Forgot password link. Once logged in, you land on the Dashboard — a summary of recent activity, upcoming appointments, and notifications.

PART 1 — CHAPTER 02

Configuring firm settings

Add your branding so every client communication looks professional.

Click Settings in the left sidebar (visible to owners and admins only).

Upload your firm logo — this appears on client-facing emails and the client portal.

Enter your firm name, phone number, and website.

Save changes. Your branding is now live on all outgoing communications.

PART 1 — CHAPTER 03

Building your pipeline

Design the stages each client moves through from onboarding to filing.

Go to Templates → Pipeline in the sidebar.

Click + New Pipeline or select an existing default pipeline to edit.

Add stages by clicking + Add Stage. Name each stage (e.g. Onboarding, Organizer Sent, In Preparation, Review, Filed).

Set a color for each stage to visually distinguish them on the Kanban board.

Save your pipeline. It will be available to assign to clients.

Build your pipeline before adding clients. Each client moves through the stages automatically as work progresses.

Engagement letter templates

Create reusable engagement letters with merge fields that auto-fill per client.

Go to Templates → Engagement Letters.

Click + Create New Letter or select a preset to start from.

Enter the letter body. Use merge fields like {{FirmName}}, {{ClientName}}, {{TaxYear}} — they auto-fill when sent to a client.

Save the template. It will be available to assign to a service package.

Each service (Individual Tax Prep, Business Tax Prep, etc.) should have its own engagement letter. Clients only sign the letter matching their assigned service.

Organizer templates

Build client questionnaires that collect the exact information you need.

Go to Templates → Organizers.

Click + New Organizer or choose a preset.

Build your form by adding sections and questions. Question types include text, yes/no, date, file upload, and multiple choice.

Mark questions as required or optional.

Save and assign to a service package.

Organizers are sent automatically when a client is assigned a service package — no manual sending needed.

Service packages

Bundle your engagement letter and organizer into a single assignable package.

Go to Settings → Packages.

Click + New Package.

Name the package (e.g. Individual Tax Preparation).

Attach an engagement letter template and an organizer template to the package.

Set the price (optional — for display purposes).

Save. This package is now ready to assign to clients.

A service package bundles your engagement letter and organizer together. When you assign a package to a client, both are triggered automatically.

PART 1 — CHAPTER 07

Inviting your team

Add staff members and assign them the right level of access.

Go to Team in the sidebar.

Click Invite Staff Member.

Enter the staff member's email address and select their role (Admin or Staff).

Click Send Invite. They'll receive an email with a link to create their account.

Once they accept, they appear in your Team list and can log in immediately.

Staff members can see clients, tasks, messages, and schedule — but cannot access Settings or network admin features.

PART 2 — CHAPTER 08

Adding a client & sending an invite

Onboard a new client and trigger their organizer and engagement letter in one step.

Go to Clients in the sidebar and click + Add Client.

Select the client type: Individual or Business.

Enter the client's full name and email address.

Assign a service package (e.g. Individual Tax Preparation). This triggers the engagement letter and organizer automatically.

Click Save & Send Invite. The client receives an email with a link to create their portal account.

Once the client accepts, their portal is active and they can upload documents, sign the engagement letter, and complete the organizer.

Always assign a service package at this step if you want the organizer and engagement letter to go out automatically.

PART 2 — CHAPTER 09

Migrating existing clients

Give existing clients portal access without requiring them to re-sign or re-complete anything.

Go to Clients → + Add Client.

Enter the client's name and email.

Do NOT assign a service package at this step. Skipping the package prevents a new organizer or engagement letter from being triggered.

Click Save. The client is added to your system without any pending tasks.

Upload their previously completed documents (organizer responses, signed engagement letter) manually to their Documents tab.

Click Send Portal Invite from the client's page. They'll get access to their portal where they can see their documents and message your firm.

When a new tax year begins and you're ready to start a fresh engagement, assign a package at that time — this will trigger the new organizer and engagement letter.

This flow is for clients who have already signed an engagement letter and completed an organizer with your firm. It gives them portal access without requiring them to go through the process again.

PART 2 — CHAPTER 10

Client detail page — all tabs

Every piece of information about a client lives here, organized across tabs.

Basic Information

Name, email, phone, address, client type, and assigned package.

Services

Active services and pipeline stage. Move a client through stages manually or let automation advance them.

Documents

Uploaded files organized by folder and year. Firm can upload documents and trigger Grant analysis from here.

Due Diligence

Internal compliance checklist to ensure all required steps have been taken before filing.

Messages

Real-time messaging thread with the client. Everything in one place — no email needed.

Activity Log

Full audit trail of every action taken on this client — uploads, signings, messages, status changes.

PART 2 — CHAPTER 11

Analyzing documents with MAJR Grant

Use AI to review any document and surface errors, red flags, and next steps instantly.

Open a client's page and go to the Documents tab.

Upload or locate the document you want to analyze (W-2, 1099, IRS notice, tax return, etc.).

Click the Analyze with Grant button on the document.

Grant reads the document and returns: a plain-English summary, any errors or red flags detected, and suggested next steps.

Ask Grant follow-up questions about that specific document in the chat that opens.

The analysis is visible only to your firm — clients cannot see it.

Supported formats: PDF, JPG, PNG. This works from both the firm dashboard and when clients upload documents through their portal — you're notified instantly and can analyze right away.

Leads, messages & communications

Manage incoming prospects and stay connected with every client.

Go to Leads in the sidebar to see all incoming prospects.

Click a lead to view their inquiry details.

Click Convert to Client to move them into your client list.

Messages

Go to Messages to see all client message threads.

Click a thread to reply. Messages are also accessible from the client's detail page.

PART 2 — CHAPTER 13

Email marketing & Grant compose

Send firm-wide email campaigns in seconds with AI-written copy.

Go to Email Marketing in the sidebar.

Click + New Campaign.

Choose recipients: All Clients or Select Clients.

In the Compose section, use the Grant AI composer: describe the email you want to send in one sentence (e.g. "A reminder that tax season is approaching and clients should start gathering their documents").

Click Compose Email. Grant writes the full subject line and email body for you.

Review and edit the draft as needed.

Add your subject line if not auto-filled, then click Send.

You can save any campaign as a template for future use — great for seasonal reminders you send every year.

PART 3 — CHAPTER 14

MAJR Grant — AI tax intelligence

Your always-available AI tax research assistant, document analyst, and memo writer.

Grant is MAJR Pro's built-in AI tax intelligence engine. It can research tax law, analyze documents, draft memos, and compose emails — all from the MAJR Grant page in your sidebar.

Ask any tax question and get cited answers from IRS publications and the Internal Revenue Code.

Documents

Upload a file and have Grant analyze it for errors, red flags, and recommended next steps.

IRS Notice

Paste or upload an IRS notice. Grant explains it in plain English and drafts a response.

Tax Memo

Generate a formal tax research memo with citations — ready to save or send to a client.

Knowledge

Your firm's internal knowledge base. Store your own policies, procedures, and reference documents.

Updates

Latest IRS and tax law updates, summarized and organized for quick review.

Grant is AI-generated. All outputs should be reviewed by a licensed tax professional before use. Grant does not file returns or give legal advice.

PART 3 — CHAPTER 15

Tasks & schedule

Keep your firm organized with tasks, a shared calendar, and integrated Zoom appointments.

Tasks

Go to Tasks in the sidebar.

Click + New Task, enter a title, assign to a staff member, and set a due date.

View tasks in Kanban (board) or Calendar view.

Schedule

Go to Schedule to manage appointments.

Set your availability and connect Zoom for virtual meetings.

Clients can book appointments through their portal.

Time Clock

Staff can clock in and out from the dashboard. Owners can view shift history in Team → Time Clock.

PART 3 — CHAPTER 16

Tax Resolution Network

Connect with a network of member firms for referrals, resources, and community.

Click Tax Resolution Network in the sidebar to expand the section.

Click Join Network to apply for membership.

Once approved, you can access Members, Referrals, Leads, Community, Resources, and Events.

To refer a case: go to Referrals → + New Referral and select a member firm.

Applications to the network are reviewed by the network admin. Owners and admins can review incoming applications from the Applications tab.

PART 4 — CHAPTER 17

Client portal full walkthrough

Your client's experience, from invitation email to filed return.

Client receives an email invitation from your firm with a link to create their portal account.

They create a password and log in.

On first login they see any pending tasks: organizer to complete, engagement letter to sign, or documents to upload.

They complete the organizer by answering the questions you built in your template.

They sign the engagement letter electronically.

They upload any requested documents (W-2s, 1099s, etc.) — your firm is notified instantly.

They can send messages to your firm at any time from the Messages tab.

They can check the status of their return from their portal dashboard.

Clients who were migrated without a package will not see any pending tasks. They'll see their documents and can message your firm.

PART 4 — CHAPTER 18

Roles & permissions

Understand what each role can and cannot do before inviting your team.

Owner

Full access to everything — clients, settings, packages, team, billing, network admin, and hard delete clients.

Admin

Same as Owner except cannot manage billing or hard delete clients.

Staff

Can access clients, tasks, messages, and schedule. Cannot access Settings, network admin tabs, or delete clients.

When you invite a team member, you choose their role. You can change roles later from Team → Staff Member → Edit Role.

PART 4 — CHAPTER 19

Mobile access & add to home screen

Use MAJR Pro on your phone like a native app — no download required.

MAJR Pro is a web app that works on any smartphone browser. You can add it to your home screen so it opens full-screen like a native app — no App Store or Google Play required. This works for both firm staff and clients.

On iPhone (Safari)

Open Safari on your iPhone and go to majrpro.com. (This must be Safari — it won't work from Chrome on iOS.)

Tap the Share button at the bottom of the screen — it looks like a box with an arrow pointing up.

Scroll down in the share sheet and tap "Add to Home Screen".

You'll see a preview with the MAJR Pro name and icon. Tap Add in the top right corner.

MAJR Pro now appears on your home screen. Tap it to open the app full-screen with no browser bar.

Tell your clients to do the same steps on their iPhone so they can access their portal right from their home screen — it makes uploading documents and messaging your firm much easier.

On Android (Chrome)

Open Chrome on your Android phone and go to majrpro.com.

Tap the three-dot menu (⋮) in the top right corner of the browser.

Tap "Add to Home screen" or "Install app" (the label may vary by Android version).

Tap Add on the confirmation prompt.

MAJR Pro appears on your home screen and opens full-screen like a native app.
